1. About Chathu Lanka Tours

Chathu Lanka Tours is a government-registered company in Sri Lanka. “Chathu Lanka Tours,” “we,” “us” and “our” refer to the legal business identified above. “Traveller,” “you” and “your” refer to the person making a booking and every person included in that booking.

2. Scope of our services

We provide private tours, customised itineraries, chauffeur-guide and private-driver services, airport and hotel transfers, accommodation arrangements, sightseeing, safaris, train-ticket assistance, local guides and other travel services listed in an accepted quotation.

The services included in a booking are limited to those expressly stated in the final written itinerary, quotation or booking confirmation. Flights, visas, insurance, meals, admission fees, activities and personal expenses are not included unless the confirmation specifically states otherwise.

3. Booking process

A booking is not confirmed merely because an enquiry, proposed itinerary or quotation has been provided. A booking becomes confirmed only after you accept the final itinerary and quotation, provide the requested traveller information, pay the required deposit or full price, and receive our written confirmation.

Quotations remain valid until their stated expiry date. The lead traveller must be at least 18 years old and is responsible for accurate information, group communications, payments and notification of special requirements.

4. Prices

Tour prices are based on the confirmed services, group size, dates, accommodation, vehicle and activities. If the number of travellers changes, the per-person price may also change.

Unless otherwise stated, prices exclude international and domestic flights, visas, insurance, personal expenses, gratuities, unspecified meals, optional activities, medical costs, excess baggage, disruption costs and services requested after confirmation.

5. Deposits and payment

An initial deposit equal to 20% of the total booking amount is required to confirm the booking. The deposit must be paid by bank transfer using the account details provided by Chathu Lanka Tours.

The remaining balance may be paid during the traveller’s time in Sri Lanka, in accordance with the arrangements stated in the written booking confirmation.

The traveller is responsible for any bank, intermediary-bank and currency-conversion charges unless the quotation states otherwise.

A payment is received only when cleared funds reach the account specified by Chathu Lanka Tours. If payment is late, we may treat the booking as cancelled after written notice and apply the disclosed cancellation terms.

Never send funds to a different account based only on an unexpected message. Verify changed payment instructions through the contact information on our official website.

6. What is included

Only the items identified in the final booking confirmation form part of the package. Depending on the selected tour, the package may include:

  • An air-conditioned private tourist vehicle for the entire tour
  • An English-speaking, Tourist Board-registered chauffeur-guide
  • Fuel for the entire tour
  • Airport and hotel transfers
  • Airport charges
  • Highway and expressway charges
  • Parking fees
  • Bottled drinking water
  • The driver’s accommodation and meals
  • Passenger-risk insurance with cover up to LKR 500,000 per eligible passenger, subject to the applicable vehicle policy
  • Site entrance fees specified in the final booking confirmation
  • A special safari vehicle and national park entrance fees where specified
  • A World Heritage Site guide or explanation where specified
  • Accommodation included in the confirmed itinerary
  • Lunch and dinner where specified in the final booking confirmation
  • Applicable government taxes

Not included

  • Personal expenses
  • Any service, activity or expense not listed in the final booking confirmation

7. Accommodation

Accommodation is subject to availability until confirmed. If a named hotel becomes unavailable, we may offer a reasonably comparable alternative and will disclose a material change where reasonably possible.

Room standards and facilities may differ from those in the traveller’s home country. Bedding, adjoining rooms, views and floor requests cannot be guaranteed unless confirmed in writing. Travellers are responsible for hotel damage, minibar charges and personal expenses.

8. Vehicles drivers and journey times

Vehicles are selected according to the confirmed group size, route and luggage information. Estimated journey times are guidance, not guarantees, and may be affected by traffic, weather, roads, closures, public events, festivals, security checks and sightseeing stops.

Travellers must use seat belts where available and follow reasonable safety directions. Smoking and unlawful substances are prohibited in vehicles. Alcohol may not be consumed in a vehicle unless lawful and approved in advance.

9. Train tickets

We may assist with train-ticket requests, but a specific train, time, seat, carriage or class is not guaranteed until issued. Services are operated by third parties and may be delayed, amended or cancelled.

If the preferred ticket is unavailable, we may propose another departure, another class, a different rail section or a private road transfer. Non-refundable ticket costs and booking fees will be disclosed where reasonably possible.

10. Entrance tickets safaris and activities

Tickets and activities are included only when listed in the final confirmation. Parks, monuments, temples, museums and operators may alter fees, hours, conditions or availability.

Wildlife sightings cannot be guaranteed. Adventure activities and safaris involve inherent risks. Travellers must follow safety instructions and disclose relevant medical conditions. A provider may refuse participation where it reasonably considers participation unsafe.

11. Changes requested by the traveller

Change requests must be made in writing and remain subject to availability and supplier approval. Additional charges may apply for hotels, rooms, routes, mileage, nights, activities, vehicles, group-size changes or supplier fees.

No change is confirmed until we approve it in writing and receive any additional payment. Services voluntarily left unused after the tour begins are not automatically refundable.

12. Cancellation by the traveller

Cancellation must be sent in writing by the lead traveller and takes effect when acknowledged by us.

The following refund policy applies to amounts received by Chathu Lanka Tours:

  • Cancellation 30 days or more before the trip start date: full refund, less the applicable bank charges described below.
  • Cancellation 20 days before the trip start date: 50% refund, less the applicable bank charges described below.
  • Cancellation fewer than 7 days before the trip start date: no refund.

When a booking is cancelled, bank charges will be calculated with reference to the amount transferred and the exchange rate applied on the date of the original transfer. Bank or payment-processing charges incurred when issuing the refund will also be deducted from the refund amount.

Refund timing may depend on receiving funds from hotels and other suppliers. Comprehensive cancellation insurance is strongly recommended.

13. Cancellation or material changes by Chathu Lanka Tours

We may amend an itinerary because of weather, road or safety conditions, supplier failure, closures, government action or other circumstances beyond our reasonable control.

Where a material service cannot be supplied, we will, where reasonably possible, offer a suitable alternative, an appropriate price adjustment, or a refund for the affected service after lawful deductions. If we cancel the whole booking for reasons within our control, we will refund payments for services not provided, subject to applicable law.

14. Events beyond reasonable control

Neither party is responsible for non-performance caused by circumstances beyond reasonable control, including severe weather, natural disaster, epidemic, war, terrorism, civil unrest, strike, transport disruption, government action, border or airport closure, utility failure, road closure or attraction closure.

We will take reasonable steps to assist and reduce disruption. Additional accommodation, meals, transport and itinerary costs may be payable by the traveller unless covered by us, a supplier or insurance.

15. Passports visas and travel documents

Travellers are responsible for valid passports, visas or travel authorisations, onward-travel documents, health documents, permits and all other required documents. Requirements may change and must be checked with the appropriate authority.

We are not responsible when a traveller is refused entry, boarding or participation because documents are incomplete, invalid or incorrect.

16. Health mobility and special requirements

Before booking, travellers must disclose medical conditions, disabilities, mobility limitations, allergies, dietary needs and other circumstances that could affect the itinerary. We will make reasonable efforts to assist but cannot guarantee accessibility at every vehicle, hotel, destination or activity.

Pregnant travellers and anyone with health concerns should obtain medical advice before demanding activities. Chathu Lanka Tours does not provide medical advice.

17. Children

A parent or legal guardian must supervise children. The lead traveller must provide their ages and request child seats or other equipment before confirmation. Equipment is subject to availability and must be confirmed. Parents remain responsible for assessing suitability.

18. Traveller conduct

Travellers must respect Sri Lankan law, customs and religious practices; follow reasonable safety directions; treat staff, suppliers, communities and other travellers respectfully; protect people, wildlife and property; and avoid unlawful or severely disruptive conduct.

We may terminate participation where conduct creates a serious safety risk, is unlawful or materially disrupts the tour. The traveller is responsible for resulting transport, accommodation and repatriation expenses. Refunds will be handled according to applicable law and the circumstances.

19. Travel insurance

All tourist vehicles used by Chathu Lanka Tours to transport guests must carry valid motor insurance that includes passenger cover and authorisation to carry passengers for payment, in accordance with applicable Sri Lankan requirements.

The insurance applicable to the assigned vehicle may provide passenger-risk and medical-expense benefits. The scope of cover, benefit limits, eligibility and payment of claims are determined by the relevant insurer and are subject to the applicable policy wording, conditions, exclusions and claims-assessment process.

Chathu Lanka Tours verifies that an assigned vehicle has valid passenger insurance before it is used to transport guests. Evidence of the applicable vehicle insurance can be provided upon reasonable request.

The vehicles assigned by Chathu Lanka Tours carry passenger-risk insurance with a current limit of up to LKR 500,000 per eligible passenger, subject to the terms and conditions of the applicable vehicle policy. This is not a guaranteed payment and must not be interpreted as personal life or travel insurance.

Vehicle passenger insurance is limited in scope and is not a substitute for comprehensive personal travel insurance. Travellers should obtain their own insurance covering overseas medical treatment, emergency evacuation, repatriation, cancellation, personal belongings and planned activities.

Travellers are responsible for understanding the limits, exclusions and claims procedures of their personal travel-insurance policy.

20. Third party suppliers

Some services are provided by independent hotels, restaurants, rail operators, parks, safari operators, guides and activity providers. Their reasonable terms, safety rules and cancellation policies may apply.

We use reasonable care when arranging suppliers, but each supplier remains responsible for the service it directly provides, subject to applicable law. Nothing in these terms excludes responsibility that cannot lawfully be excluded.

21. Responsibility and limitation of liability

Chathu Lanka Tours will perform its services with reasonable care and skill. To the extent permitted by law, we are not responsible for loss caused by the traveller, an unconnected third party, incorrect traveller information, invalid documents, independent arrangements, inherent activity risks or circumstances beyond our reasonable control.

We do not exclude liability for fraud, wilful misconduct, death or injury caused by negligence, or any liability that cannot legally be excluded. Any limitation applies only to the extent permitted by Sri Lankan law.

22. Personal belongings

Travellers are responsible for passports, money, devices, luggage and other possessions and should not leave valuables unattended. Courier, storage and recovery costs incurred while assisting with lost property may be charged to the traveller.

23. Photographs and marketing

We will not intentionally publish identifiable photographs or videos of a traveller for marketing without appropriate permission. Future marketing consent may be withdrawn by contacting us. Withdrawal does not automatically affect material lawfully published before the request, although reasonable removal requests will be considered.

Travellers must observe photography restrictions at religious, cultural, military and protected locations.

24. Website information

We take reasonable steps to keep website information accurate, but prices and availability can change, photographs are illustrative, seasonal and wildlife information is not guaranteed, journey times are estimates, and errors may be corrected.

If website content conflicts with a final written confirmation, the confirmation governs except where prohibited by law.

25. Intellectual property

Unless otherwise stated, website text, branding, logos, layout, photographs and original material belong to Chathu Lanka Tours or are used with permission. They may not be copied, sold, republished or commercially exploited without prior written permission, except where allowed by law.

26. Privacy

We use personal information to respond to enquiries, prepare quotations, arrange and deliver services, process payments, meet legal obligations and communicate important travel information.

Personal information may be shared with relevant hotels, transport providers, activity operators and other suppliers where reasonably necessary to provide the booked services or where disclosure is required by law.

Further information about how we collect, use, retain and protect personal information—including information about cookies, international transfers and travellers’ rights—is available in the Chathu Lanka Tours Privacy Policy .

27. Complaints and problem resolution

Report problems during the tour as soon as reasonably possible so we can investigate and attempt to resolve them. Unresolved complaints should be submitted with supporting documents within 7 days after the tour by calling or messaging +94 76 837 6499.

We will acknowledge the complaint and respond as soon as reasonably possible. Nothing removes a consumer’s right to contact the Sri Lanka Consumer Affairs Authority or another competent regulator.

28. Governing law and disputes

These terms are governed by Sri Lankan law. The parties should first attempt good-faith written resolution. Unresolved disputes are subject to the jurisdiction of competent Sri Lankan courts unless mandatory consumer law provides otherwise.

29. Severability

If a provision is invalid or unenforceable, the remaining provisions continue to apply. The affected provision will be modified only to the minimum extent necessary to make it lawful and enforceable.

30. Changes to these terms

We may update these terms to reflect changes in services, business practices or legal obligations. The version accepted when a booking is confirmed normally applies unless the parties agree otherwise or a change is required by law. The website version will display its effective and last-updated dates.
